This Privacy Policy ("Policy") explains how Oodaan Star Service Private Limited ("Oodaan", "we", "our", or "us") collects, uses, stores, shares, and otherwise processes personal information in connection with the Oodaan website, platform, recruitment services, and related services ("Services"). Your use of Oodaan is also subject to our Terms & Conditions. This Policy addresses privacy and personal-information processing only.
1. About this Privacy Policy
This Policy applies to personal information processed in connection with your access to or use of the Services, including when you create a profile, apply for opportunities, communicate with Oodaan, or otherwise interact with the platform. 2. Who we are
Oodaan Star Service Private Limited operates the Oodaan recruitment lifecycle platform. Oodaan facilitates access to employment opportunities, including overseas employment opportunities, and may support various stages of the recruitment process. Unless a separate written agreement expressly states otherwise, Oodaan is not the employer of a candidate merely because the candidate uses the platform or receives recruitment assistance. Where an employment relationship is established, it is typically between the candidate and the relevant employer. The specific Services available in any case may vary depending on the job, country, employer, recruitment arrangement, and applicable requirements.
3. Scope
This Policy covers personal information relating to candidates and other individuals who use or interact with the Oodaan website or platform; individuals who communicate with Oodaan about recruitment, applications, documentation, or related services; and other individuals whose information is provided to Oodaan in connection with recruitment or related processes, where applicable. This Policy does not reproduce Oodaan's Terms & Conditions. Payment, recruitment-service, and contractual terms are addressed separately where applicable.
4. Personal information we collect
The personal information collected depends on how you use the Services and what is required for the applicable opportunity, country, employer, or recruitment arrangement. Where applicable, this may include the categories below.
Identity information
This may include full name, date of birth, gender where collected, and profile information.
Contact information
This may include email address, mobile or telephone number, and address and location information where provided.
Employment and qualification information
This may include education, skills, work experience, employment history, professional qualifications, certificates, experience letters, and other information relevant to recruitment.
Identity and immigration information
This may include passport details, passport documents, identification documents, visa-related information, work-permit information, and other information required for overseas recruitment.
Candidate documents
Oodaan stores candidate recruitment documents where they are provided or required for the applicable process. These may include resume / CV, educational certificates, experience documents, medical documents, visa and work-permit documents, and other recruitment-related documents.
Application information
This may include jobs applied for, application status, interview information, assessment information, recruitment progress, and communication relating to applications.
Communication information
This may include emails, messages, WhatsApp communications where applicable, and other communications with Oodaan and relevant recruitment parties.
Payment-related information
Where a payment is made or requested in connection with recruitment or related services, Oodaan may process or receive information relating to that payment. This may include information such as payment status, amount, purpose, receipt details, and related communication. This Policy does not list specific payment processors or financial-data fields. Only information that Oodaan actually processes or receives in connection with applicable payments is covered.
Technical information
When you use the website or platform, certain technical information may be processed where reasonably necessary to operate, secure, and maintain the Services. This Policy does not describe internal systems, vendors, or architecture.
5. How we collect personal information
Oodaan may collect personal information directly from you, including during registration, profile creation, applications, document uploads, interviews, assessments, and communications; from employers, recruitment partners, or other authorized parties involved in an applicable recruitment process, where relevant; from service providers involved in verification, medical, visa, work-permit, insurance, translation, or related processes, where applicable; and automatically, to the extent reasonably necessary to operate, secure, and maintain the website or platform. You are responsible for ensuring that information and documents you provide are accurate, complete, genuine, and up to date.
6. How we use personal information
Oodaan uses personal information for recruitment and related operational purposes. Depending on the applicable opportunity and Services, this may include creating and maintaining candidate profiles; processing job applications; matching candidates with suitable opportunities; candidate screening; verification; interview coordination; practical or technical assessments; document verification; communicating with employers and recruitment partners; visa processing; work-permit processing; insurance-related processing; medical and document processing; pre-departure processing; recruitment and placement coordination; responding to candidate requests; maintaining recruitment records; preventing fraud and abuse; protecting platform security; complying with legal obligations; resolving disputes; and improving the Services where appropriate.
Oodaan does not use personal information to guarantee employment, placement, visa approval, or work-permit approval. Those outcomes depend on employers, authorities, and other circumstances outside Oodaan's control.
7. Lawful grounds for processing
Depending on the circumstances, Oodaan may process personal information based on applicable law, contractual necessity, consent where required, legitimate business purposes, or other lawful grounds. The specific legal basis applicable to a particular processing activity depends on the nature of the information, the purpose, the location of the individual, and applicable legal requirements.
8. How we share personal information
Oodaan may share relevant personal information with parties involved in the applicable recruitment and overseas employment process. Only information relevant to the applicable purpose is shared. Oodaan does not share every candidate document with every third party. Where applicable, this may include employers; recruitment agencies and recruitment partners; visa and immigration service providers; government and immigration authorities; embassies and consulates; medical service providers; insurance providers; translation providers; document verification providers; travel-related service providers; and other service providers required for the recruitment process.
Oodaan may also disclose personal information where reasonably necessary to comply with applicable law, legal process, or governmental request, or to protect the rights, safety, or security of Oodaan, users, or others. Oodaan does not sell personal information to third parties for their independent marketing purposes.
9. International transfers
Oodaan handles overseas recruitment. Candidate information may therefore need to be transferred to, or accessed by, parties located outside India. This may include employers, recruitment partners, immigration or visa-related parties, and other relevant service providers. Where personal information is transferred internationally, Oodaan will take reasonable steps to handle such transfers in accordance with applicable data-protection and privacy requirements.
10. Communications
Oodaan does not currently operate general marketing communications. Oodaan may send necessary service and recruitment communications, including application updates, interview notifications, recruitment status updates, document-related requests, visa and work-permit updates, important account or service notifications, relevant job opportunity notifications, and WhatsApp messages relating to recruitment or service activity.
These communications are operational or transactional in nature. They are not described as marketing. Where a communication is essential to providing the Services or completing a recruitment process, it may not be possible to opt out of that communication while remaining a user of the relevant Services. If optional promotional communications are introduced in the future, Oodaan will distinguish them from necessary service communications and, where legally required, provide an appropriate choice.
11. Cookies and similar technologies
The Oodaan website and platform may use cookies and similar technologies that are reasonably necessary to operate the Services, maintain sessions, protect security, and remember certain preferences. Depending on the actual website implementation, such technologies may fall into categories such as necessary or essential technologies, preference functionality, analytics where applicable, and other technologies where applicable. This Policy does not list specific cookie names, vendors, tracking tools, or retention periods. Where additional cookies or similar technologies are used, this Policy will be updated as appropriate.
12. Data security
Oodaan uses reasonable technical and organizational safeguards appropriate to the nature of the information processed. No method of internet transmission or electronic storage can be guaranteed completely secure. Oodaan does not claim that the Services are free from unauthorized access, loss, or misuse. This Policy does not describe internal security architecture, infrastructure providers, or specific security tools.
13. Data retention
Oodaan does not apply a single fixed retention period to all personal information. Different information may be retained for different periods depending on recruitment requirements, employment-related processing, visa and work-permit requirements, legal and regulatory obligations, accounting and financial requirements, fraud prevention, dispute resolution, contractual requirements, and legitimate business record-keeping. Information and documents may be retained for as long as reasonably necessary for recruitment, employment-related processing, visa or work-permit processing, contractual requirements, legal or regulatory requirements, financial or accounting records, fraud prevention, dispute resolution, and other legitimate operational requirements. Information that is no longer required should be deleted or otherwise handled according to applicable legal and business retention requirements.
Resumes
Oodaan stores candidate resumes. Candidates are expected to update or re-upload their resume at least once every year so that recruitment records remain current. Annual updating does not mean that a resume is automatically deleted after exactly one year. Resumes may be retained as necessary for recruitment and related purposes, subject to applicable retention requirements.
Other documents
Candidate recruitment documents are stored. This may include passport documents, certificates, experience letters, medical documents, visa documents, work-permit documents, and other documents required for recruitment. This Policy does not specify a fixed deletion date for these documents.
14. Account closure and deletion requests
Candidates cannot currently delete their own account through a self-service delete button. A candidate may request account closure or deactivation by contacting Oodaan. Requests may be sent to info@oodaan.org or submitted through our contact page. Account closure or deactivation does not necessarily mean immediate deletion of every record. Oodaan may retain information required for ongoing recruitment, contractual, financial, legal, regulatory, fraud-prevention, dispute-resolution, or legitimate record-keeping purposes. Information that is no longer required should be deleted or otherwise handled according to applicable retention requirements. This Policy does not promise complete deletion of all information, or immediate permanent deletion of an account.
15. Your privacy rights
Depending on applicable law, you may have certain rights in relation to your personal information. Where applicable, these may include the right to access personal information; the right to request correction; the right to request deletion; the right to request information about processing; the right to withdraw consent where consent is the applicable basis; the right to object to or request restriction of processing, where applicable; the right to raise a privacy complaint or grievance; and other rights available under applicable law. These rights may be subject to conditions, exceptions, and verification requirements under applicable law. 16. Children
Oodaan's recruitment services are intended for adults. The Services are not intended for persons under 18 years of age, unless applicable law or a specific service expressly permits otherwise. If you believe that personal information relating to a person under 18 has been provided to Oodaan in a manner that is not permitted, please contact us so that we can review the matter.
17. Changes to this Policy
Oodaan may update this Policy from time to time. Where material changes are made, Oodaan may provide notice through the platform or another appropriate communication method. The updated Policy will contain a revised "Last updated" date. Continued use of the Services after an updated Policy becomes effective constitutes awareness of the revised Policy, to the extent permitted by applicable law.
